These terms apply to private tours provided by Nakasendo Private Tour, operated by Ryo Yoshimura (“the Company”).
Payment
- A non-refundable deposit of USD 100 per tour day confirms your booking and is credited toward the total fee.
- Dates are secured on a first-paid basis. Provisional bookings may be released if the deposit is not received within 48 hours of issuing the payment link.
- The balance is due 14 days before the first tour date. Bookings made within this period require full payment.
- Payment is accepted by credit card via Stripe or by Wise transfer.
Requested train, bus, accommodation, or other advance bookings require payment of the relevant costs and service charges. Reservations cannot be guaranteed without timely payment.
Consecutive-Day Discount
Bookings of four or more consecutive tour days receive a 5% discount on all guiding fees in that booking. Transportation, guide accommodation, meals, admission, and third-party charges are excluded.
The discount is shown in the quotation. The deposit remains USD 100 per day. If a revised booking no longer qualifies, the discount is removed; cancellation charges may also apply.
Cancellation Policy
- More than 7 days before the first tour date: The deposit is retained. No additional cancellation fee applies.
- 1–7 days before the first tour date: 70% of the total tour fee.
- On the first tour date or no-show: 100% of the total tour fee.
Charges are calculated after any applicable discount. Payments already received count toward the cancellation fee. Any excess is refunded, except for the non-refundable deposit.
Additional Costs
Unless included in the quotation, guests pay their transportation expenses and, for hiking tours, the Guide’s transportation expenses. Services included in the agreed fee are not charged again.
Weather and Safety
Safety comes first. The Company may change, postpone, or cancel a tour because of severe weather, official warnings, transportation conditions, or other safety or operational concerns. If an official warning is issued, or if the Company determines that the tour cannot proceed, all payments will be refunded except for the deposit. The deposit is non-refundable.
Guests must follow the Guide’s safety instructions, wear suitable footwear and clothing, and disclose relevant health conditions or mobility limitations.
Travel Insurance
We strongly recommend insurance covering cancellation, medical emergencies, personal injury, belongings, and any hiking activities in your itinerary.
Injury and Liability
Walking and hiking involve risks such as slips, trips, and falls. The Company and the Guide are not liable for resulting injuries unless caused by their negligence or wrongful conduct.
Guests are responsible for their physical condition and personal belongings.
Subject to applicable law, the Company and the Guide are not liable for losses caused by events beyond their reasonable control, including natural disasters, severe weather, transport disruptions, government restrictions, or pandemics.
Where legally permitted, liability for ordinary negligence is limited to the guiding fees paid for the booking. This limit does not apply to intentional misconduct, gross negligence, or liability that cannot legally be limited.
